Frequently Asked Questions
When is the best time to start trip planning?
To ensure your first preferences are held, the best flight options are booked and plenty of time to promote and gain approval we recommend trip planning 18 months or more in advance. We are there with you every step of the way.
How can I gain student interest for viable numbers to run a trip?
A successful promotion can be an information evening with a PowerPoint, a letter out to families with a flyer, an ad in the school newsletter or an email to parents. A deadline of interest and initial payment is imperative to gauge realistic interest. We will put together all your promotional material and are happy to host a promotion event at your school (subject to location).
What restrictions are there on passenger numbers?
To achieve group pricing, a minimum of 10 students is required. There are no restrictions on maximum numbers, we do recommend an accurate indication on numbers to ensure enough availability and the best price.
Do teachers have to pay?
Teachers can choose whether to incorporate their travel costs into the student package or pay separately.
If a student needs a different flight routing can they purchase a land only package?
We can tailor separate flight routing or land only packages for students who wish to continue their travels. Their package will be priced separately and is subject to the trip coordinator’s approval.
What details do I need to collect from students?
Educational Adventures strive to make trip coordinating as streamline and stress-free as possible. We set up google forms for all passengers to complete their details, so you don’t have to.
Do I need a visa?
We can provide relevant visa information once passport information is received. You can check the requirements on Visas Direct. Passports must have 6 months validity from the return of travel date.
What if our numbers change after we have paid a deposit?
Due to distribution of costs, packages are required to be requoted based on actual numbers if they change after a deposit has been paid.
Is there flexibility in payment deadlines?
We try to be as flexible as possible with what the school plans to promote. Take note that deadlines are subject to property and airline restrictions.
Can I replace a student at no extra cost?
If a student drops out, their deposits to date can be transferred to a new traveler’s spot (subject to timing). We strongly recommend traveler’s seeking adequate insurance coverage for cancellation cover.
How much spending money should I take on the trip?
